In this edition of eTIPS you will find tips about Nuance's recommendation for navigating and refreshing web based applications, how a user can choose which column headers will display in the EWS application, how the Client Viewer application can be used as a tool to monitor several login types, how Worktype date/time tokens are updated, and learn about the Text Systems auto-recovery feature.

Did you know it is recommended that you navigate and refresh by using the application's provided links?
 
In general, to ensure greater stability with most web based applications, Nuance best practices recommend the following; If you are using an Internet based web application, which is running in the Internet Explorer or other Internet browser, use the application provided links to navigate and refresh. By following this general rule, you will minimize the risk of undesirable results, such as accidentally exiting or navigating away from the application during the course of your work. The links and buttons within the application are specifically designed to work with the application and properly respond to navigation or refresh functions based on your current location within the application.  
 
For example, if you want to refresh the view in Enterprise Workstation, you can click the GO button, or you can click the Refresh button on the top middle of the EWS application, next to the Help button. This is not to be confused with the Internet Explorer "Refresh" at the top of the Internet Explorer which often has a green up and down arrow symbol next to it. If you are unsure which refresh button is the correct one, simply stick with using the EWS application's GO button or Refresh link to refresh your results. Also, you can talk to your EWS system administrator about enabling the Nothing But Blue Bar option which will only show the EWS application links and will not display any of the standard Internet Explorer buttons while using EWS.

Did you know that you can add/remove column headers from the Visits, Orders, and Reports tabs in Enterprise Workstation (EWS)?
 
This feature allows you to add fields that you want to see and remove those which are not needed. While logged into EWS, click on the Preferences link, and then select the Visit List, Order List, or Report List tabs. On each tab there will be an option at the top left that says, "Use Administrator Default Columns." If you uncheck the box for this option, it will give you a list of available columns that you can add or remove from your default view. You can add things such as Date Of Service, Admit Date, Dictation Status, Order ID, Location, and many more. You simply move the items in the Available columns list to the Show the Following Columns list. You can also move the items up and down so they will display in the order (left to right) you prefer.

Did you know that the Voice Systems Client Viewer application can be used to monitor several login types?
 
The Client Viewer application enables a supervisor, manager, or IT staff to monitor any users who are currently logged into the Dictaphone Enterprise Express Speech (ESS) Voice System. You can monitor users in a channel-by-channel view to see who is dictating, reviewing, transcribing, or editing. You can also configure privileges, disconnect clients or users from the system, and set a channel to busy (make unavailable). 
 
Client Viewer can also be used as a tool to verify which ESS servers are logged in and the date and time of the last login. To verify which servers are currently logged in, open the Client Viewer application and view the Client window. Locate the server or service in question and check the Logon column for the logon date and time. If it shows today's date and time, your server or service is logged in and has been running since the date and time displayed. If the server in question is not listed under the Client window, that server is not currently logged in and is unavailable to the users.

Did you know that tokens related to date/time may or may not automatically update when a document is opened for editing?
 
Many ESS Text Systems Worktype Template tokens, such as TranscribedDateTime and DocumentLastModifiedOn, are refreshed each time a document is opened for editing. However, not all tokens related to the date/time event are refreshed (updated) when the document is opened for editing (this means any action other than "create" or "view"). Some tokens are specifically designed this way to properly log and track all date/time events throughout all ESS applications, and true for documents edited in either Word Client, Correction Client, Enterprise Workstation (EWS) as well as an addenda.
 
If you want to be certain that the tokens related to date/time are refreshed appropriately when a document is opened for edit, make sure to include at least one of the tokens from the following list in all Worktype templates. These specific tokens cause the Text System to refresh all date and time tokens each time the document is opened for edit. One suggestion is to use the token DocumentLastModifiedOn or any of the other listed tokens in all worktype templates.

  • EditingTransInitials
  • EditingTransEmailAddress
  • RevisionCount

Did you know you can quickly clear a condition where Word Client continuously prompts you for document recovery.
 
Nuance's Enterprise Speech Systems document recovery process works together with MS Word's auto-recovery feature. This combined effort allows you to successfully recover your transcription work that is currently in progress when the computer, running the Word Client application, is interrupted for one reason or another.
 
Microsoft Word maintains the recovery documents structure and triggers the recovery event. Word Client acts on this event and prompts you to perform a document recovery. In some cases the MS Word auto-recovery feature is triggered, even when there is no evidence of a document needing to be recovered, which causes the Word Client application to prompt you to perform a document recovery each time you launch the application. You can clear this continuous prompting for document recovery by using Windows Explorer to browse to the folder C:\Docnet\Recovery and delete all of the files found in this folder.

Question: Would you please clarify Nuance name branding for the Enterprise product line? For example, is "Enterprise Express" now labeled "Enterprise Speech?" 
  
Answer: The following is a list of Nuance terminology related to the Enterprise product line.  
 
NUANCE TERMINOLOGY:
  • Nuance Healthcare Solutions: A division of Nuance specifically catering to all Healthcare industries.
  • Dictaphone Enterprise Speech System: Also known as Enterprise Speech System, Dictaphone ESS, or ESS for short. A solution within the Nuance Healthcare Solutions division specifically catering to the On-Premise Dictation and Speech Recognition for Enterprise-Wide Medical Transcription industry. It was formerly known as Dictaphone Enterprise Express, Enterprise Express or EE.
  • VoiceSystem Software: A component of ESS that captures dictation and routes this dictation to transcription. It was formerly known as Enterprise Express Voice, EXVoice or EXV.
  • TextSystem Software: A component of ESS which houses transcribed documents and controls routing of these documents. It was formerly known as Enterprise Express Text, EXText or EXT.
  • Enterprise Workstation: Also known as EWS. A component of ESS which allows providers to use front-end speech recognition technology to dictate, edit and sign a report. Its name remains the same.   
  • Enterprise Turbo Speech: Also known as Speech, Turbo Speech or ETS. A component of ESS which uses back-end speech recognition to assist transcriptionists with transcribing reports. It was formerly known as Enterprise Express Speech, EXSpeech, or EXS.
  • Front-End Speech Recognition: Speech recognition occurs during the course of dictation allowing the provider to make his/her own corrections. EWS is an example of this.
  • Back-End Speech Recognition: Speech recognition occurs after the provider completes the dictation. The voice file is sent through the speech recognition engine and is presented to the transcriptionist with draft text. Enterprise Turbo Speech is an example of this.
Question: What is "Turbo" and which versions include "Turbo?"
 
Answer: Turbo is term which was adopted by the EXSpeech team when Version 5.2 was released. All versions greater than version 5.2 are considered "Turbo." The term "Turbo" was then branded into the product name which is now titled Enterprise Turbo Speech. Version 5.2 was a major break through in speech recognition technology and brought Enterprise Turbo Speech to a whole new level in the industry. For no better words, EXSpeech became "turbo charged." Here are a few key features of version 5.2 which contributed to the term "Turbo":
  • Dragon Engine was introduced to EXSpeech providing a phenomenal increase in recognition accuracy.
  • Fast File Collection was enabled to free up system resources thereby improving efficiency.
  • Smart ReWrite technology was introduced allowing the speech engine to memorize transcriptionist edits for each provider, and then automatically include these edits in future draft text from the same provider.
