Nuance is pleased to present you with this edition of eTIPS where you will find tips on how Microsoft� Word Styles and Formatting can affect the font and font size when inserting text into Word Client and Enterprise Editor (EXEditor) documents, how to format headings which appear in the Enterprise Editor as recognized text, how to set the Enterprise Workstation (EWS) screen to be "Nothing but Blue Bar," and learn about new tools available to help you monitor the Turbo Speech collection process in Version 8.

Did you know that Microsoft Word Styles and Formatting can affect the font and font size when inserting text into Word Client and Enterprise Editor documents?
 
The styles and formatting applied to your worktype templates in the TextSystem can cause Normals and draft text to be inserted in different font sizes and types than those set in the user's normal.dot. 
Perform the following steps to check the Normal Style in each of the worktype templates on your system to ensure consistent formatting:
  1. While editing a worktype template in TextSystem Explorer application, select Format from the menu bar in Microsoft Word.
  2. From the Format menu, select Styles and Formatting.
  3. This opens the Styles and Formatting dialog window in Word.
  4. Hover your mouse over the "Normal" style in the Formatting to Apply list. This will show the Normal style's configured font and size. It will also show you the spacing.
  5. To reset the font and size, right-click Normal and choose Modify.
  6. Set the font, size, and spacing as desired.
  7. Click OK to save this to the Normal Style.
  8. Ensure the cursor is placed in the position where users should start the body text on the template, then press Ctrl+N to save the worktype template with these changes.
Note: Updates to the style apply on newly created documents.  Existing documents will retain their properties from the previous settings.

Did you know the Enterprise Editor (EXEditor) headings are formatted under the site profile in the ESS TextSystem Explorer application? 
 
Users are able to set preferences for how headings in speech documents are formatted when they are inserted into the draft text.  For Enterprise Editor documents, these settings are configured in the TextSystem Explorer as follows: 
  1. Log into the ESS TextSystem Explorer. 
  2. Right-click the Site name and select Edit Site Profile.
     
    Format Headings
     
  3. Select the EX Editor Macro Settings tab and configure the settings as desired in the Section Headings area.
  4. Click OK to save the settings. 
Please Note: Changes made here take effect immediately for all Enterprise Editor users on newly created speech documents.

Did you know you can set the Enterprise Workstation (EWS) screen to be "Nothing but Blue Bar"
            
With "Nothing but Blue Bar" enabled, Enterprise Workstation displays in a window which doesn't include the Internet Browser menus, toolbars, or address bar. Enabling "Nothing but Blue Bar" within the EWS application reduces Internet Explorer to only showing the window title (Blue Bar) at the top of the Internet Explorer window. This feature offers the provider more real estate in the dictation area when creating a report as well as allow for more patients to be displayed on the Visit / Report lists. It also helps prevent the provider from accidentally navigating away from the EWS webpage by hitting the back arrow or entering an address and navigating to a different site.   
 
Nothing But Blue Bar 
"Nothing but Blue Bar" is an administrative setting configured at the site level, which impacts all EWS users in the site. To enable: 
  1. Launch the ESS VoiceSystem Explorer application. 
  2. Right-click the name of the site to modify, and click Modify Site.
  3. In the Modifying Site dialog box, click the Enterprise Workstation tab.
  4. Select the Nothing But Blue Bar feature so the check mark appears in front of this option.
  5. Click the OK button to save changes and exit.

Did you know there are new tools to help you monitor the Turbo Speech collection process in Version 8?

 
Monitoring the collection progress for speech providers is now even easier in version 8. The Adaptation and Fluency reports that have been present since Speech Build 4 in VoiceSystem Explorer are still available but newly added options allow you to more closely monitor the process. Accessible from VoiceSystem Explorer are the new Turbo Speech Administration reports: Pending Adaptation, Adaptation Job List, Pending Fluency Meter and Fluency Meter Job List.

These two reports have very similar report outputs. Both include the User ID, Site ID, and Input Type (Phone, GoMD, Olympus, etc).  They include Minutes and Job Counts. Minutes are more pertinent to Adaptations, so are reported as a ratio of the required number *.*/15 or *.*/120, where 15 minutes is required for Adaptation #1 and 120 minutes for Adaptation #2. Fluency formats the Job Count similarly as */10 for Fluency #1 and */11 for Fluency #2.  These counts allow you to see, at a glance, how many more minutes or jobs are required for that particular process.
 
The system tallies the number of Adapts or Fluency Meters that have run so far on the user/device combination. It indicates if a job list has been created for that user (which can be viewed in the Job List reports referenced below). The current Mode, if available for the user, is reported (NON-SPEECH or Draft).
 
The final column is Status. This column's data provides the most explicit indication as to the state of the user. Most common entries include:
  • Collecting for 1st Adaptation / 2nd Adaptation
  • Collecting for 1st Fluency Meter / 2nd Fluency Meter
  • Waiting to run 1st Adaptation / 2nd Adaptation
  • Waiting to run 1st Fluency Meter / 2nd Fluency Meter
Users will perform 1st Adaptation, 1st Fluency Meter, 2nd Adaptation, and then 2nd Fluency Meter (if required). 
 
Adaptation Job List and Fluency Meter Job List 
These report options are very similar to the Pending reports and provide the same data points, such as User ID and Site ID. The job ID being queued for Adaptation or Fluency as well as the file path for the job are shown. This can be helpful when you need to confirm the job count from the Pending list and their availability.

The Enterprise Reporting package, available on line by navigating to https://Admin.iChart.Com, is a powerful tool that can validate your successes, help you improve your department process, and track employee productivity progress. 
 
This month we begin a series of articles that directly "speak to speech." We will give suggestions on how to take advantage of each of the following speech related reports included in the Enterprise Reporting package:
  • Speech Productivity
  • Transcription Summary
  • TAT (Turn-Around-Time)
  • Dictation Summary
These reports are specifically designed to offer you a "360 degree view of your Turbo Speech System." 
 
In this edition of eTIPS we will provide you with information about the "Speech Productivity" report. The remaining three reports will be discussed in subsequent editions of eTIPS.
 
The Speech Productivity report allows managers to analyze and view the overall editing gain and productivity change statistics for your account. Productivity can be viewed by MT, Provider or Work type. This report is very helpful when analyzing an individual Provider's viability as a licensed Speech user. It can clearly show which MTs are succeeding with a specific provider's dictation and which MTs are struggling with the same provider. To accomplish this:
  1. Launch Speech Productivity.
  2. Select your desired date range.
  3. Choose Provider in the Group by drop down box.
  4. Run the report.
  5. Click the blue underlined number under the Speech Volume Minutes column to display information about each job. 
    Under the columns listed, you will see each MT displayed along with that document's productivity in Minutes/Hour.
  6. Sort by the column Minutes/Hour to see high and low MT producers.
