eTIPS1Did you know that there are 2 views on the Reports tab in EWS that allow you to edit a report in your ESig queue?
 
If you would like to make changes to a report in your ESig queue, you must be on the Reports tab and have selected either I can sign or I can proxy sign from the Show Reports dropdown box.  Any other selection from the Show Reports drop-down box, for example "I Dictated", will allow you to search for and view the report, but not edit or electronically sign. EWS displays a reminder in red text at the top right hand portion of your screen that states, "Items in This List Are Not Editable."

The picture below shows the EWS "Reports" tab displaying a list of reports resulting from the "Show Reports" filter being set to "I can sign."  Reports listed here can be viewed, edited, and electronically signed. These options are also available when the Show Reports filter is set to "I Can Proxy Sign."

NOTE: Any reports displayed in the Reports tab resulting from the Show Reports filter being set to anything other than "I can sign" or "I can proxy sign" cannot be edited nor electronically signed.

eTIPS2Did you know that you can customize your Variable Entry Screen (a.k.a. Document Information Screen) to display more recognizable User Defined Fields? 
 
User Defined Fields (UDF's) contain data that are not part of the standard fields included in the Dictaphone Enterprise Speech System (DESS) - TextSystem database. UDFs are custom fields that have been added to your system so you may store additional information in the database. Once created, the UDFs can be placed on the Variable Entry Screen (VES) or Document Information Screen (DIS) for your Medical Transcriptionists (MTs) to either validate data content or to input appropriate data when transcribing reports. You can modify the Screen Prompt and Help Prompt for an existing UDF which is displayed on the DIS/VES, to offer your MTs a better understanding on what needs to be entered or validated in this field, instead of the MTs having to decipher this information from the field's sometimes cryptic field name.
 
UDF Fields on VES/DIS
 
Perform the following to modify the Screen Prompt and Help Prompt for a UDF displayed on the VES/DIS:
  1. Launch the TextSystem Explorer application.
     
  2. Depending upon where the UDF was added to the VES/DIS, either right-click the Site or Worktype, and then select edit.
     
  3. Navigate to the VES Setup tab.
      
  4. In the Selected Fields group, select the Field name (for example, "TrnInterfaceID") so it is highlighted.
     
  5. click the Properties button to open the VES Field dialog box.

  6. Modify the text in the following text boxes.
     
    • The Screen Prompt is the text which is displayed on the VES/DIS next to this field.
       
    • The Help Prompt is the text which is displayed at the bottom of the VES/DIS screen when the MT places the cursor in the field.
       
  7. The following shows how the MT will see the modifications to the VES/DIS.

eTIPS3Did you know that Job Lister computes the average total turnaround time and average transcription turnaround time for all jobs appearing in a given report?
 
By adding the Overall D/T TAT column to the Job Lister report output, Job Lister will display the average total turn-around-time (TAT) and the average transcription TAT in a menu bar at the bottom of the executed report. These two averages will show in the bottom of the report as shown below.

The following describes the two averages:
  • Average Total Turnaround Time (Avg. Total TAT) is the average time between when the dictations are completed and when the transcription is completed, determined by dividing the combined Overall D/T TAT by the number of jobs.
     
  • Average Transcription Turnaround Time (Avg. TRN TAT) is the average time MTs spent in a report before completing the report, determined by dividing the combined T. Total TAT by the number of jobs.
These two averages can be used by your organization as indicators of workflow and transcription performance.

eTIPS4Did you know that you can quickly remove a user from Speech Recognition?
 
The Dictaphone Enterprise Speech System (DESS) provides a quick and easy way to completely remove a provider from the DESS - Turbo Speech system. You might want to use this feature when providers leave your institution and you wish to disassociate the providers from speech recognition. Removing a speech recognition user from your system allows you to reclaim the system resources consumed by these profiles and makes overall system administration much easier.
 
Removing a provider from speech processing does not remove any dictation files for the user. Removing a provider from speech processing removes all speech database records, input device associations and evaluation ratings for the provider.  Removing speech processing for a provider returns the speech license for that provider to the available licenses pool.
 
Removing a speech user is irreversible.  Once a user is removed from the system; training files and language model adaptations for that user are removed.  If you wish to add the user back to Turbo Speech for speech processing, that user will need to be setup in the same way as a new speech user.
 
To remove a Turbo Speech user:
  1. Launch the VoiceSystem Explorer application, expand the relevant site and then select Users. A list of users for that site will be displayed.
     
  2. Right-click the user and select Modify User.  The dialog box for modifying that user profile will appear.
     
  3. Select the EXSpeech tab.
     
  4. Click the Remove User from EXS Processing button.
     
  5. A warning dialog followed by a confirmation dialog will be displayed.  Click yes in response to both dialog messages to confirm and execute the Remove User action.

The following describes three important habits to master. These habits help improve personal MT productivity.
  1. Remember the basics, keep your hands on Home Row and avoid reaching for the mouse. All commands in Correction Client and EXEditor can be executed by keystroke, which saves valuable time.
     
  2. Use the time saving key stoke combination of Shift+F11 and Alt+Shift+F11 to remove beginning and ending content spoken by the provider which is not intended for inclusion in the legal document.
     
    To delete unwanted text at the beginning of the Draft:
     
    • Listen and place (stop) your cursor on the last introductory word which needs to be removed.
       
    • Press Shift+F11.  This will highlight all the text back to the beginning of the draft text.
       
    • Remove the highlighted text by pressing the Delete key, Ctrl+D (EXEditor) or Alt+D (Correction Client).
       
    To delete unwanted text at the end of the Draft:
     
    • Place the cursor on the first word of the closing text which needs to be removed.
       
    • Press Alt+Shift+F11 to highlight from the cursor position to the end of the document.
       
    • Remove the highlighted text by pressing the Delete key, Ctrl+D (EXEditor) or Alt+D (Correction Client).
       
  3. Speed up the playback in draft dictation for appropriate providers.  Keep a "team list" of providers whose draft is very good and for whom increasing the playback speed is helpful to increase productivity.
     
    Perform the following to control the playback speed in Correction Client:

Dictaphone Enterprise Speech System 8.0
  • A TextSystem patch has been released for systems in geographical areas, such as Arizona, that do not observe daylight saving time changes.   This patch addresses the issue where Transcription time stamp would be applied incorrectly and the time zone tokens being one hour different, when daylight saving time was not in effect.  This issue only occurs when the source date and date of update for the record occur on systems that are in different daylight savings time-zone modes.
