eTIPS
In the June 2010 edition of
eTIPS we showed you how to set the Styles and
Formatting options in TextSystem Worktype
templates using Word 2003.
This eTIP is an update to include
the steps in Word 2007. Essentially the procedure
is the same but of course the Word 2007 options
look somewhat different.
The styles and formatting
applied to your Worktype templates in the
TextSystem can cause Normals and draft text to be
inserted in different font sizes and types than
those set in the user's normal.dot.
Click the play button on the

to configure the style and formatting
options:
Perform the following to check
the Normal Style in each of the Worktype templates
on your system to ensure consistent
formatting:
- While
editing a Worktype template in the
TextSystem Explorer
application, select Home on the Microsoft
Word ribbon.
- From
the Home ribbon, click the drop-down
arrow under the Change Styles
button. This opens the Styles
menu
in Word.
- From
the drop down menu right click on
Normal and select
Modify. This opens the
Modify Style dialog. This
will show the Normal style's configured font and
size. It will also show you the spacing.
- To
reset the font and size, right-click
Normal and choose
Modify.
- Set
the font,
size, and
spacing as
desired.
- Select
the New documents based on this template
option.
NOTE:
If this last step is missed, the template will
not use these new settings
- Click
OK to save this to
the Normal Style.
- Ensure
the cursor is placed in the position where users
should start the body text on the template, then
press
Ctrl+N to save the
Worktype template with these
changes.

Did you
know that Enterprise Workstation (EWS) Can Control
Data Formatting for Barcode Entry?
Enterprise
Workstation (EWS) supports dictation data entry
via barcode scanning. This is done with a Powermic
I or Powermic II with the barcode scanning
feature. It may be necessary to control the
formatting of the barcode entry in your specific
environment. For example, if the Medical Record
Number (MRN) on the ADT (Admission, Discharge, and
Transfer) interface download into the TextSystem
has no leading zeroes, but the barcode being used
to enter this information in at the point of
dictation does, then it will be necessary to
configure the dictator's Master Profile so that
the leading zeroes are stripped out when wanding
in the barcode.
Perform
the following steps to change barcode formatting
options.
- Launch
the VoiceSystem Explorer
application, and log in with a user that has
sufficient application rights to make Master
Profile changes.
- Expand
the appropriate Site,
- Expand
the Master Profiles section,
right click the appropriate master profile and
then select Modify Master
Profile.
- Select
the PowerMic
tab.
- Select
the appropriate actions that you wish to have
performed on the barcode entry. The system will
perform ALL
selected entries for dictators that have this
master profile assigned.
- For
entries that require an additional definition of
the 'Number of Characters', when selected, the
field will become active and you will need to
enter in the appropriate value.
The
available selections and their definitions are as
follows.
Remove
leading zeroes - - Removes ALL leading
zeroes from the barcode entry. So, for example, if
the barcode is 000012345, the entry stored in the
job record will be 12345.
Remove
characters from beginning - - removes a
definable number of characters from the beginning
of the scanned barcode. You must enter the number
of characters to remove in the 'Number of
Characters' field. So, for example, if you enter a
value of '2' in the Number of Characters field,
then if the barcode is 12345678, the entry stored
in the job record will be 345678.
Remove
characters from end - - removes a
definable number of characters from the end of the
barcode. You must enter the number of characters
to remove in the 'Number of Characters' field. So,
for example, if you enter a value of '3' in the
Number of Characters field, then if the barcode is
12345678, the entry stored in the job record will
be 12345.
Remove
all letters - - removes all alpha
characters (letters) from the barcode. So, for
example, if the barcode is 123ab456cd789e, the
entry stored in the job record will be
123456789.
Convert
all letters to numbers (DTMF) - - If
there are any alpha characters in a barcode, it
will convert those letter values into the
numerical equivalent as found on a standard
telephone keypad. So, for example, if the barcode
is 12345ADGJM78, the entry stored in the job
record will be 123452345678. The conversion values
for the alpha characters are shown on the
right.
Use
characters from beginning - - only uses a
definable number of characters from the beginning
of the barcode. You must enter the number of
characters to use in the 'Number of Characters'
field. So, for example, if you enter a value of
'6' in the Number of Characters field, then if the
barcode is 123456789, the entry stored in the job
record will be 123456.
Use
characters from end - - only uses a
definable number of characters from the end of the
barcode. You must enter the number of characters
to use in the 'Number of Characters' field. So,
for example, if you enter a value of '7' in the
Number of Characters field, then if the barcode is
123456789, the entry stored in the job record will
be 3456789.
Remove
non-numeric characters - - only accepts
the numerical characters in the barcode, all other
characters are stripped. So, for example, if the
barcode is 1234-56-78abc, then the entry stored in
the job record will be 12345678.

iSupport and search
for: "System Administrator Courseware
and Reference Guide, Enterprise Workstation,
L3033-006." If you are not an iSupport
subscriber, click iSupport Timesaver for
information on how to get started with
iSupport.
Did you know that the
VoiceSystem Worktype descriptions should not
contain special characters when using the Olympus
DS5000 Portable Worktype pick
list?
The
VoiceSystem can be configured to pass Work Type
descriptions to the Olympus DS5000
portable. If the Portables tab
in the providers profile has multiple Worktypes
enabled, then these Worktype descriptions will
appear on the portable's Worktype Pick List when
the device is powered on. This Worktype Pick List
will be presented for every new dictation created
on the portable ensuring that each dictation will
upload with the selected Worktype in the
appropriate field.
However, the Worktype
description for any of the Worktypes selected on
the Portable tab may not show up correctly on the
DS-5000 if special characters are used in the Work
Type description. Specifically, the Worktype
description cannot contain any of the following
characters in the Id Field matching dialog:
'.', '-', '*', '?',
':', '\', '>',
'<', '/".
If you modify the Worktype
description or make any changes to the Portables
tab in the VoiceSystem Explorer application for
the users' profile, you must reassign the portable
to the user. You can assign the portable to the
user by clicking on File, then Configure Portable.
Pick the user name from the selection list
presented in the Olympus Uploader log
screen.

Did
you know you can
configure the order in which dictations are
delivered for EXSpeech Recognition in Build
8?
Beginning with Build 8 of
the Dictaphone Enterprise Speech System (DESS),
you have two options for determining the order
that dictation jobs are sent for speech
recognition. The configuration settings to control
this are found in the VoiceSystem Explorer
application. To change these options follow these
steps.
Note: You must have
administrative permissions in order to configure
this setting.
- Launch the VoiceSystem
Explorer application and login with
your username and password.
- Right-click Server
[name] in Explorer and choose
Modify Server
Settings.
- At the bottom of the window you
will see an option named "Order to deliver jobs
to EXS:"
- There are two choices from which
you can select in the drop-down menu
including:
- Job ID: When
selecting Job ID, the dictations are delivered
for recognition in FIFO order (first in, first
out) of the Job ID.
- Priority + Job ID:
When selecting Priority + Job ID, the jobs are
delivered for recognition by the Priority level
and then by the Job ID (FIFO). This enables jobs
with a high priority level to be submitted for
speech recognition before normal priority jobs.
Please note that you must configure Priority
Pools for this to work
correctly.

vnserver.exe file (Version
81.0.3078) was released and corrects the
following:
- Corrects issue wherein TMA and
LMID would no longer function
- Corrects voice-driven QA issue
where XSD flagged jobs were not being
retrieved
- Corrected an issue where the
Dragon Medical Mobile Recorder (DMMR) login was
not paying attention to Password Expiration or
ADM Group lockout
- Includes a hot fix that is
required to fix the Change Password issue with
DMMR Version 1.1

Rollins
Mike Rollins is a Senior
Project Manager with Nuance's Professional
Services Team (Enterprise Speech Division),
responsible for coordinating and delivering all
components associated with the implementation of
the Dictaphone Enterprise Speech Solutions
(DESS) for our customers. Mike works closely
with the Nuance Project Planning, Integration
Services, Field and Technical Services, and
Application Training teams to ensure Nuance
implementations are successful. Mike has been
with Nuance Professional Services for six years
and has twenty plus years in the Healthcare
Technology industry. Mike is PMP certified
and is an active member of the Metrolina Chapter
of the Project Management
Institute.
Outside of Nuance, Mike enjoys
spending most of his time with his
20-year-old son, family and friends. He also
enjoys being outdoors, golfing, relaxing at the
beach, NASCAR, and grilling out. Mike resides in
Waxhaw, North Carolina.
